THE PROBLEM

Your ADO data exists but there is no way to export it as a formatted report

NO STRUCTURED EXPORT

No way to export ADO data as formatted reports

Azure DevOps stores your requirements, review logs, baselines and traceability records but provides no way to export them as formatted reports. Anyone who needs to review, approve or act on your ADO data outside the platform receives raw exports or manually assembled files with no consistent structure or presentation.

MANUAL REGENERATION

Every change means manually regenerating the report

When requirements change in Smart Docs, when a review cycle closes in Review Management or when a baseline is updated, any previously exported report is immediately out of date. Teams manually update and re-export with no connection between the live ADO data and the report already shared with stakeholders.

NO STANDARD TEMPLATE

No consistent report template followed across teams

Without a defined export template, every team member produces a different-looking report from the same ADO data. Heading levels, field orders and numbering conventions vary from person to person, making it impossible to maintain a consistent report standard for auditors, regulators and external stakeholders.

HOW IT WORKS

From Azure DevOps data to a formatted report in three steps

Smart Report reads live ADO data, applies your template and exports. No copy-pasting, no manual formatting and no rebuilding when requirements change.

STEP 01

Select your data source and open Smart Report

Access Smart Report from any MR NextGen module, including the ADO Backlog, Smart Docs, Baseline, Review Management and Version Package. Select the work items you want to export and click Smart Report in the toolbar. The panel opens with your data ready to format.

STEP 02

Choose a template that defines the output structure

Select a template from the dropdown, organized by module folder. The template defines which work item types appear, which fields are included, how headings are applied per level and how the hierarchy is numbered. Click Generate to see a formatted preview of your ADO data instantly.

STEP 03

Export in your preferred format and distribute

Click Save As to export as MS Word, PDF, PDF from Word Template, HTML, or save directly to the Document Management library. Upload a custom dotx file to apply your organization's branded fonts, logo and page layout to every exported report automatically.

WHAT YOU GET

Core capabilities that turn ADO data into formatted output

MULTI-MODULE ACCESS

Export from any MR NextGen module

Smart Report is accessible from the ADO Backlog, Smart Docs, Baseline, Review Management and Version Package. In every module the same Report and Designer interface opens. Templates are organized by module folder so the right starting point is always immediately available.

TEMPLATE LIBRARY

Pre-built templates organized by module folder

Templates are organized into folders matching each MR NextGen module, including Backlogs, Baseline, Review, Smart Docs, Trace Analysis and Version Management. Select any pre-built template to generate a formatted report immediately, or build and save custom templates for reuse across the entire organization.

DESIGNER

Configure exactly how ADO data appears in output

The Designer defines the work item hierarchy for the report, which fields are included per level, heading styles applied per field, grouping rules, filters per clause and sort order. Build a template that mirrors your exact ADO hierarchy and save it for reuse across all projects.

FIELD-LEVEL STYLING

Heading styles per work item type and field

Each field in the Designer has its own Stylesheet setting. Set Epic titles to Heading-1, Feature titles to Heading-2 and User Story titles to Heading-3. This creates a proper heading hierarchy in Word and PDF output, and automatically generates a clickable Table of Contents in every Word export.

BRANDED EXPORT

Apply your organization's Word template on export

Select Inherit Word Styling and upload a custom dotx file containing your organization's logo, fonts and page layout. Every exported report inherits that branding automatically. The uploaded template is stored in the system and reused for all future exports, ensuring consistently branded output every time.

EXPORT FORMATS

Five formats including direct library saving

Export any Smart Report as MS Word, PDF, PDF from Word Template, HTML, or save directly to the Document Management library for immediate team-wide access. Saving to the library makes the formatted report available to every stakeholder in one central location without emailing attachments.

BUILT FOR EVERY ROLE

Every role that needs formatted ADO data uses Smart Report

From business analysts exporting requirements to project managers sharing review summaries with leadership, Smart Report removes the manual export step for every team member.

Analyste d’affaires

Requirements export owner

Before sprint planning, a BA generates a requirements report from Smart Docs and shares it with the development team for review. The exported Word report includes work item IDs, descriptions and acceptance criteria, giving developers everything they need without requiring ADO access.

Technical Writer

External delivery owner

After each release, a technical writer generates formatted release notes from Version Package and delivers them to the external customer. The report uses the organization's branded template, presenting the full feature hierarchy in a professional layout the customer can review and sign off without opening ADO.

Gestionnaire de conformité

Audit evidence owner

Before an ISO 9001 internal audit, a compliance manager generates an evidence report from Baseline and shares it with the auditor. The exported PDF shows all control work items, their states and assigned owners in a structured layout the auditor can review independently of ADO.

QA Lead

Test readiness owner

Before a test readiness review, a QA lead generates a Test Case Specification from Traceability and shares it with the development lead and PM. The exported PDF shows test steps, expected results and linked requirements, confirming test coverage is in place before the review begins.

Gestionnaire de projet

Leadership reporting owner

Before a quarterly steering committee meeting, a project manager generates a sprint requirements summary from Smart Docs and shares it with the VP of Product. The exported PDF shows the full work item hierarchy with state and ownership, giving leadership an accurate picture without scheduling a status call.

Regulatory Affairs Manager

Submission owner

Before a 510(k) submission, a regulatory affairs manager generates the Software Requirements Specification from Smart Docs and shares it with the FDA submission team. The exported Word report uses the regulatory submission branded template, ready for direct inclusion in the package without any reformatting.

Safety Engineer

Safety review owner

Before the ASIL classification review, a safety engineer generates a HARA report from Smart Docs and shares it with the Independent Safety Assessor. The exported PDF presents hazardous events, safety goals and FSRs in a structured layout the assessor can review and annotate independently.

Configuration Manager

Configuration evidence owner

At PDR, a configuration manager generates a baseline report from Baseline and shares it with the program office as formal configuration evidence. The exported PDF captures every work item at its approved revision, giving the program office a point-in-time record of the agreed requirement set.

INDUSTRY USE CASES

Smart Report use cases across different regulated industries

Each use case shows how a specific team exports ADO data as formatted compliance documentation directly from an MR NextGen module.

WHERE TEAMS USE IT

Built for teams that need formatted ADO output without the manual effort

COMPLIANCE

Compliance documents generated from live ADO data

Smart Report reads work items directly from ADO at the moment of export. Compliance teams get formally structured documentation without copying data manually. Every export reflects the exact ADO state when generated, making it a reliable point-in-time evidence record.

REGULATED

Branded regulatory output without manual formatting

Upload a branded dotx template once and every subsequent Smart Report export inherits the organization's logo, fonts and page layout automatically. Regulated teams produce submission-ready documents in the correct format without reformatting every export by hand.

DELIVERY

Reusable templates across every module and project

A template built in the Designer is available to every team member across all MR NextGen modules. Business analysts, QA leads, compliance managers and release managers all generate consistently formatted ADO data exports from the same template, eliminating inconsistency across the organization.
