Frequently asked questions about Document Management

Document Management supports Microsoft Word documents, Excel spreadsheets, PDFs, images and more. The built-in editor is available for Word files. Other file types can be uploaded, downloaded, versioned and shared from the library but open outside the browser editor.
My Documents is your personal storage area — only you can see and manage files there. Shared Documents is a collaborative space where your entire team can access, upload and work on documents together based on the permissions configured for each folder or file.
When you check out a document it is locked exclusively to you. Any other team member who opens it sees it in read-only mode until you check back in. If you need to cancel without saving changes, use Discard Checkout to release the lock immediately and return the document to its previous state.
Yes. Right-click any document and select Checkout to download it and lock it in the library simultaneously. Edit the file locally in Microsoft Word, then return to Document Management and use Check In to upload the updated file with a version label, comment and Minor or Major change designation.
In Smart Docs click Save As and select Save to Library. Enter a title, select the destination folder in Document Management, choose a Word template and output format and click OK. The document saves to the library instantly with no download required.

Yes. Open any document in the built-in editor and click Compare To in the toolbar. Select the version you want to compare against. Differences between the two versions are highlighted in red directly in the document. The comparison header shows exactly which version numbers are being compared.
