Why are we focusing on documents?

Almost every team we encounter is using some document authoring system to house and/or report their requirements. By offering both unrestricted style to present requirements, and templates that create structure, documents have become a requirements management staple for many teams. 

In this week’s videos we cover how teams can unify the process of building documents and requirements by using our ‘4DevOps Smart Docs tools. By the end of the week your team can easily build a document-based workflow that helps users to build consistent requirements and documentation faster than ever.

Setting up a Document's structure

In this video we cover how to build structure templates for your Smart Docs. You will learn how to prevent users from creating poorly structured requirements documents by building structures that guide them through the process. By building templates users know exactly what kind of requirements to build in their documents, and where. By the end of this video you will know how to create, and configure a Meta Template for any type of Requirements Document.

Creating a Requirements Document

In this video we cover building a document using the structure we created in our last video. You will explore how to add new requirements to your project simply by adding content to your Smart Doc. Once you have some new requirements added to your Smart Doc, you will learn how to insert existing requirements from your project into your newly built Smart Doc. You will then explore how changes made to requirements in your Smart Doc are reflected everywhere in your project.

Reusable Document Templates

Documents + Requirements

In this video you will learn how to make reusable Document Templates that can be used to start documents quickly. You’ll learn how teams use Document Templates to enforce a reusable process that is consistent across both team members and teams. Think of the last Requirements Document you created. Did you start with a blank document, or did you have a Word template already filled in with content that helped you get started? For most teams the latter is the case. Here you will learn the benefits of having this functionality built into your TFS/ADO project.

Creating Versions in Smart Docs

In this video you learn how to fully version your Smart Doc and the requirements they contain. Many teams struggle with the process of creating, managing, maintaining, and storing all of their document versions. As the number of document versions grows exponentially, so do the issues of keeping naming conventions and storage locations straight. Here you will learn when and why versions are created manually vs automatically. You’ll also learn how to compare Smart Docs to easily identify changes between your document versions.

How to Export Smart Docs

In this video you learn how to output the documents we create in Smart Docs. You will learn the three different approaches to outputting your Smart Docs. We cover how you can easily create WYSIWYG outputs of your Smart Docs, or use the Smart Report feature to use the pre-built templates that customize your document!

What does it take to create a well-defined workflow?

Some teams come from a workflow spanning several third-party applications, or workflows that involve long manual processes. For other teams they have a process that “just works” but relies heavily on everyone doing their part to stay consistent. In this week we cover using three MR4DevOps tools that help your team stay close to, and on top of, requirements. We cover a workflow that address how to make your team, project, and process a success for everyone.

In this video we cover how to easily create and use Part 11 Compliant reviews. You will learn how to build a review, and how that review can help your team collaborate and stay in touch with stakeholders. You will see how ‘4DevOps reviews remove long approval delays by offering an online review solution that shows all feedback to every participant. You will learn how reviewers and approvers can easily participate and collaborate with other participants in the review, and which actions are available to a review organizer.

Capture Change with Baselines

Manage + Review + Analyze

In this video we cover how to capture and report baselines of your work items. You will learn where building a baseline is available to you, as well as how to setup your baseline properly before interacting with it. You will become informed of how to use a baseline to rollback work items and what happens to the work items as you perform this action. You will further learn how Baselines can be reused in other projects and collections through the built-in Copy function. Lastly, you’ll learn how you can easily compare baselines to identify changes in requirements and track scope creep.

Traceability Matrices for End-End Traceability

Manage + Review + Analyze

In this video we cover how to create Trace Matrices that help you analyze and manage your project quickly. You will learn how to interact with two types of matrices and how each can be used to accomplish different goals. You will learn how to build a Horizontal Traceability Matrix in roughly 15 seconds, which we then customize to include your Test Cases with their Test Results. We also cover how to use queries to pull in the information for your matrix and how that changes the way we organize our matrix. Next, you will learn how to build an Intersection Matrix and how to use this to quickly assess, change, and manage the relationships between work items in your project.

Week Three Overview

 

What makes building ‘4DevOps visualizations different?

When you build a visualization in our ‘4DevOps tools you can easily attach requirements directly to your Diagram, Mockup, or Use Case. Gone are the days when you would need to create, store, and manage a visualization produced in a 3rd party application. In this week’s videos we show you the different visualizations our tools are capable of and how they unify the process of building assets and requirements.

Building a Diagram and Connecting Requirements

In this video we cover the types of diagrams you can create in our ‘4DevOps Diagram tool. You will learn how the tool provides stencils to quickly build BPMN, UML, and Activity Flow diagrams. With your diagram created you will learn how Requirements, Test Cases, and Use Cases are automatically generated when building your diagram. After we cover the automation portion, we cover how you can easily add requirements to your project by adding requirements to individual diagram nodes.

 

Building a Mockup and Connecting Requirements

In this video we cover how users can build complex and interactive mockups with ease. You’ll learn how to use our drag and drop interface to easily drag and drop HTML, CSS, and Javascript controls onto a canvas. Once our basic mockup is created you will learn how teams can easily group controls and save them as a reusable entity. Additionally, you will learn how to easily step through to other mockups to make your creations interactive, as well as how to add requirements directly to your mockups.

 

Building a Use Case and Connecting Requirements

In this video we cover how writing Use Cases in our Use Case module will automatically generate an accompanying diagram. You’ll learn how to build a Use Case textually and how text controls can be used to build a diagram as you type. Once your Use Case is built, you will learn how you can turn your Use Case steps into project requirements. This video concludes by teaching you how to adjust your automatically generated diagram, how to add details to your use case, and how to easily output your use case work items using Smart Report.

Week Four Overview

 

In this week we finish up this bootcamp by covering some of the remaining tools included with Modern Requirements4DevOps. We cover building waterfall oriented question lists that help you elicit requirements, as well as how to build crystal-like reports directly from your project. 

Once you’ve learn how these last tools work, we dive into some of the information your team might need to move forward with Modern Requirements. 

Building Question Lists for Elicitation

Final Thoughts

Asking the right questions means eliciting the right requirements. In this video we cover how to build question lists that help your team ask the right questions to elicit requirements. You will learn how to use pre-built question templates that cover over 2500 questions to quickly elicit non-functional requirements. You will learn how to modify the existing templates, as well as how to build your own question templates that are relevant to your team.

 

Building Advanced Reports

Final Thoughts

In this video we cover taking reporting requirements to a whole new level. Using our advanced Reporting tool, you’ll learn the benefit of making crystal-like reports that allow you to inject query results into your document content. You will learn the different situations where the advanced Reporting tool can be of more use than building Smart Reports. With a report created you’ll investigate how to use your knowledge of report templates (Smart Report) to customize how our queried information fits into your document.
